Privacy Policy

What personal information we collect, why we collect it, who else sees it, and what you can ask us to do about it.

Who we are

Vivura Studio builds websites and apps and runs digital marketing for New Zealand businesses. We're based at 66 Birchwood Road, Ohai, Southland, New Zealand, and work with clients all over the country.

This policy covers vivurastudio.co.nz and every enquiry that reaches us — through the website, through our Facebook and Instagram ads, or by email and phone. We handle personal information under the New Zealand Privacy Act 2020 and its Information Privacy Principles.

What we collect

It depends on how you get in touch. Here is each way, and exactly what arrives.

The contact form on this website

Your name, your email address, your phone number if you give it, the service you pick from the dropdown, and your message.

Two things happen when you press send. The enquiry is saved to our enquiry list so it doesn't get lost, and your own email app opens with the message already written and addressed to casey@vivurastudio.co.nz. That second part means the email arrives from your own email account — we don't send it on your behalf, and nothing leaves your device until you hit send in your email app.

Facebook and Instagram lead ads

We run ads on Facebook and Instagram that use Meta's instant forms — the form that opens inside the app rather than sending you to a website. If you fill one in, we receive:

  • your name
  • your email address
  • your phone number
  • your answers to the qualifying questions on the form

Meta pre-fills some of those fields from your Facebook or Instagram profile, so you may not have typed them yourself. Meta collects that information first and holds it until we retrieve it, which means Meta's own privacy policy governs their side of it. Once it reaches us, this policy applies.

Email and phone enquiries

If you email casey@vivurastudio.co.nz or ring 021 460 106, we end up with whatever you tell us — usually your name, your contact details, your business, and what you're after. Email sent to our domain is forwarded by Porkbun, our domain registrar, to the mailbox we actually read.

What the website records on its own

This site is hosted by Vercel. Like every web host, their servers keep a log of requests — the IP address the request came from, which page was asked for, when, and the browser and device type. We don't use those logs to work out who anyone is; they exist so the site runs and so faults can be traced.

The site also loads a typeface from Google Fonts. Your browser fetches that file directly from Google, so Google sees your IP address and browser details as part of that request.

Why we collect it

Four reasons, and that's the lot:

  • to answer your enquiry
  • to work out what you need and put a quote together
  • to deliver the work if you go ahead
  • to follow up with you about that enquiry

We don't buy contact lists, and we don't use your details for anything unconnected to the enquiry you made.

Who we share it with

We don't sell personal information, and we don't hand it over for anyone else's advertising.

A few services hold information because we use them to run the business. They process it for us, not for their own purposes:

  • Vercel — hosts the website; its servers keep the request logs described above.
  • Google (Firebase / Firestore) — where contact form enquiries are stored for us to read.
  • Meta (Facebook and Instagram) — runs the lead ad forms and holds those leads until we retrieve them.
  • Porkbun — forwards email sent to our domain to the mailbox we read.
  • Google Fonts — serves the typeface the site uses.

Beyond that, we'd only pass your information on if the law required it of us.

All of those companies are overseas and store data on servers outside New Zealand. Using them doesn't make it their problem — under the Privacy Act we stay responsible for your information, so if something goes wrong with it, come to us.

How long we keep it, and how it's held

Enquiries sit in our enquiry list and in our email. We keep them while there's a reason to — while we're talking, and for a sensible stretch afterwards in case you come back to us — and delete them once there isn't. If you'd rather yours went sooner, ask and we'll delete it.

Records tied to work we've actually done for you stay longer, because we're required to keep business and tax records.

On how it's protected, plainly:

  • the website is served over HTTPS
  • stored enquiries can't be read by anyone visiting the site — the database rules let a new enquiry be written and block every public read
  • the admin area where we read enquiries is password-protected
  • our email is protected by the security on the mailbox account itself

We're a small studio, not a bank. We hold no security certification and don't claim one, and no system is completely secure. We never ask for credit card numbers, passwords or identity documents through this website, and you shouldn't send them to us.

Cookies and analytics

This website doesn't run analytics. There is no Google Analytics, no Meta Pixel, no session recording and no third-party tracking script on it.

Browsing the site puts no cookie on your device. The only cookie our code sets is a login cookie for our own private admin area, which only we sign in to.

If you arrive here by clicking one of our Facebook or Instagram ads, Meta records that click at their end, on their platform, under their policy. That happens whether or not you do anything on our site.

If we add analytics later, we'll update this page and name what we've added.

Seeing and correcting your information

Under the Privacy Act 2020 you can ask us:

  • whether we hold personal information about you
  • for a copy of it
  • to correct anything that's wrong

Email casey@vivurastudio.co.nz or ring 021 460 106. We'll come back to you within 20 working days, which is what the Act allows. There's no charge.

We may need you to confirm you're the person the information is about before we send it — that's to stop us handing your details to someone else. If there's something we can't give you or won't change, we'll tell you why. If we can't correct something, you can ask us to attach a statement of the correction you wanted, and we will.

Stopping follow-up

Tell us to stop and we will. Reply to any email from us, or text or ring 021 460 106. There's no form to fill in and no unsubscribe process to navigate — it's one person reading it.

We don't currently send bulk marketing email or a newsletter. Follow-up means a person writing to you about the enquiry you made. If we ever start sending anything broader, you'd only be on that list because you asked to be, and every message would carry a way to get off it.

Complaints

Come to us first — casey@vivurastudio.co.nz or 021 460 106. Most things get sorted in a phone call.

If you're not satisfied with how we've dealt with it, you have the right to complain to the Office of the Privacy Commissioner, which can investigate privacy complaints against New Zealand businesses. Their website is privacy.org.nz. You don't need our permission to go to them.

Changes to this policy

If what we collect or who we share it with changes, we'll rewrite the relevant part and change the date at the top of the page. This page stays at this address so you can check it whenever you like.
